Creating and maintaining bank or cash journal entries

Introduction

The bank or cash journal is one method of entering the bank or cash transactions. You can also enter the opening balance for the bank or cash transactions.

If the Use bank/cash journal check box under the Payments: Other section in Bank settings is selected (at System ➔ General ➔ Settings ➔ Bank settings), transactions with the Payment method: Others will be journalized in the bank journal that is linked to the cash instrument used. These transactions are matched automatically and can be edited but cannot be deleted directly from this journal. They can only be deleted at Cash flow ➔ Entries ➔ Cash flow.

The following example explains the entries for the bank journal which is also applicable for the cash journals.

What version are you using?

The information in this document is applicable to product update 407 and higher. If you have versions lower than this, certain features explained here will not be applicable.

How do I create journal entries?

  1. In the Finance > Entries > Bank / Cash screen, click New.
  2. Define the relevant fields.
  3. Click Close to save and exit.

How do I edit the journal entries?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click Edit.
  8. Make the required changes.
  9. Click Close to save and exit.

How do I view the debtor, creditor, or general ledger card?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click Edit.
  8. Click the account in the Account column, or general ledger in the G/L column.
  9. Click Card. For more information, see Viewing creditor cards, Viewing debtor cards, or Viewing general ledger cards.

Keep in mind: The Card button is enabled only if the account in the Account column or general ledger in the G/L column is clicked in the cash or bank journal sub-line.

How do I view the financial transaction details of the journal entry in the Transaction screen?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click Edit.
  8. Select a journal entry.
  9. Click Our ref.

Keep in mind: The Our ref button is enabled only if a journal entry is selected from the cash or bank journal sub-line.

How do I view the financial transaction details of the journal entry in the Your ref. screen?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click Edit.
  8. Select a journal entry.
  9. Click Your ref.

Keep in mind: The Your ref button is enabled only if a journal entry is selected from the cash or bank journal sub-line.

How do I view the details of the debtor or creditor?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click Edit.
  8. Select the account in the Account column.
  9. Click Maintain. For more information, see Creating and maintaining accounts payable or Creating and maintaining accounts receivable.

Keep in mind: The Maintain button is enabled only if an account in the Account column is selected from the cash or bank journal sub-line.

How do I create a debtor account?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click New debtor. For more information, see Creating and maintaining accounts receivable.

How do I create a creditor account?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click New creditor. For more information, see Creating and maintaining accounts payable.

How do I cancel the allocation of the bank or cash entry that has been matched with the invoice(s)?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click Edit.
  8. Select the cash or bank entry.
  9. Click Unallocate.

Keep in mind: The Unallocate button is enabled only if a cash or bank entry is selected from the cash or bank journal sub-line.

How do I match the bank or cash entry?

  1. In the Finance > Entries > Bank / Cash screen, define the search criteria.
  2. Click Refresh.
  3. Select a journal entry.
  4. Click Zoom.
  5. Select an entry.
  6. Click Open.
  7. Click Edit.
  8. Select the cash or bank entry.
  9. Click Match. For more information, see Matching entries.

Keep in mind: The Match button is enabled only if a cash or bank entry is selected from the cash or bank journal sub-line.
